INSURANCE ENROLLMENT FOR 2025 FOR MEDICAL, DENTAL, VISION, HSA, AND FSA

Because of our move from Paycom to Paylocity, this year’s open enrollment is required!

The following is important information for all full-time employees.  Please read the entire memo!

If you have any of the plans below, you will lose coverage for 2025 if you do not take action to enroll in it on Paylocity:

Medical

Dental

Vision

HSA

FSA-Medical (for those who don’t take our medical and HSA)

FSA-Dependent Care

The open enrollment period begins today, October 14th and will last through Friday November 8th.  If you do not enroll in these plans before the closing date, you will lose coverage and there will be no opportunity to get it again until 1/1/2026 without a qualifying event.

Please go into your Paylocity on a desktop PC and go to “Benefits” and then “My Benefits”.  You will see the “Action Required” “Open Enrollment”.  Click the start button and the system will walk you through it.  You must first enter the dependent information for anyone that you want to cover on the above plans.  Please make sure you hit the “submit” button when you are finished.

Note, Spouses cannot be covered under our medical plan if they have an offer of coverage at their own job.  If your spouse is covered on our medical and their job situation changes so that they get an offer of coverage at a new employer, you must notify me within 30 days of the job change to drop their medical coverage.

All changes must be submitted by 11/8/2024.  If you have not acted and made changes by this date, it will be assumed that you do not want Medical, Dental, Vision, HSA, or FSA for 2025.  This decision will be locked 11/9/2024 and will remain in place until 12/31/2025.  These plans cannot be changed during the plan year unless you can prove a qualifying event as defined by the IRS.  Qualifying events are birth, death, marriage, divorce, or change in spouse’s employment.  You only have 30 days after a QE to act and request a change.

A reminder for HSA contributors over 65, or who are turning 65 in 2025: if you plan to enroll in Medicare Part A, you should stop your contributions to HSA.  Contributions to a pre-tax HSA are penalized by the government if you do them simultaneously while enrolled in Part A.  Kelley Automotive is not notified if/when you enroll in Part A and cannot offer tax advice, so consult your own tax professional if you have questions about when you should enroll in Medicare and how it affects your HSA.  The FSA option for out-of-pocket medical expense reimbursement is available for those who are enrolling in Part A.

SUPPLEMENTAL PLANS

Voluntary life                     Short term disability                       Accident

Spouse life                          Long term disability                         Critical Illness

Child life

If you have any of the supplemental plans that are not subject to annual open enrollment, you may go to “my current coverage” after you complete the enrollment and you will see them there already for you.  Since there is no open enrollment for these plans, they have been pre-loaded by Paylocity and you do not need to take any action for them.  Please do review them though and make sure that they are correct and match Paycom.

You may drop existing supplemental plans simply by requesting in writing (email) at any time throughout the year.  If there is any supplemental plan you declined at hire and that you wish to enroll in now, please contact me.  You will have to complete an evidence of insurability form, disclosing your health history.  The carrier will review it and may or may not allow you to enroll.

Last, the IRS has changed the minimum deductible amount required for high deductible plans.  In order to keep our plan in compliance with the law, Kelley Auto is required to increase the deductibles in our medical plan for 1/1/2025.  The deductible for single will go from $1600 to $1650.  The deductible for all dependent classes will go from $3200 to $3300.

NOTE:  If you are a full-time new hire who started work with us after 10/5, you will see all plan offerings, including the supplemental plans in your 2025 benefit enrollment line-up, not just the open enrollment ones.  Your effective date for all elected plans is 1/1/2025.  The Open Enrollment window does not apply to you.  Your deadline for enrollment is shown in the benefit portal.

Please let me know if you have any questions.
